Information We Collect

Flo-Test collects the following categories of personal information in the course of its operations:

— Employee information: name, phone number, email address, biometric authentication credential, employment role, and training records, collected during onboarding and used to operate the Flo-Test operations system, deliver operational SMS notifications, and maintain regulatory and safety records.

— Customer representative information: name, phone number, email address, and role, collected during job setup with the customer's authorization and used solely for operational coordination of active service tickets (crew arrival notifications, service completion follow-ups, ticket and invoice questions).

— Website visitor information: standard web server logs (IP address, browser type, referring page, session activity) collected by our website hosting provider for security and analytics purposes.

How We Use Personal Information

Personal information is used only for the following operational purposes:

— Coordinating active service tickets and field operations
— Delivering SMS notifications consented to by the recipient
— Maintaining employee training, safety, and regulatory records
— Responding to inquiries from current and prospective customers
— Complying with applicable laws and regulations

Flo-Test does not use personal information for marketing or advertising. Phone numbers and contact information are not shared with third parties for marketing.

SMS Program

Phone numbers collected for the Flo-Test SMS Program are used only for the operational message types described on our SMS Terms page (https://www.flotest.com/sms-terms/) — PIN-setup links, JSA acknowledgment requests, job assignment notifications, and DVIR/DOT inspection escalations for employees; crew-arrival ETAs and job-complete confirmations for customer representatives. SMS opt-in is captured at the time the number is collected, either through the Flo-Test operations system (employees, with active biometric consent) or through documented verbal consent at job setup (customer representatives).

Mobile phone numbers and related opt-in data collected for the SMS Program are not shared with third parties or affiliates for marketing or promotional purposes.

Message frequency varies based on account or job activity — typically 1–10 messages per week for employees, and 2–5 messages per ticket for customer-rep notifications.

Third-Party Service Providers

Flo-Test uses third-party service providers to operate its business, including:

— Twilio, Inc. for SMS message delivery
— Railway for application hosting
— IONOS for website hosting
— QuickBooks (Intuit, Inc.) for accounting and invoicing

These providers process limited personal information solely on Flo-Test's behalf and only to the extent necessary to perform their services. Flo-Test does not sell personal information.

Data Retention

Personal information is retained for the duration of the operational relationship and as long thereafter as required by law, contractual obligation, or legitimate business need. Employee and customer records are retained consistent with regulatory requirements. SMS consent records are retained for the life of the SMS program and at least four years following opt-out, consistent with applicable telecommunications regulations.

Your Rights

Individuals whose personal information is held by Flo-Test may request access to, correction of, or deletion of their information by contacting Flo-Test at the address above. Where required by applicable law, Flo-Test will respond to such requests within the timeframes prescribed by law.

Children

Flo-Test does not knowingly collect personal information from children under the age of 13. The Flo-Test operations app and SMS program are intended for use by adult employees and authorized adult customer representatives only.

Changes to This Policy

Flo-Test may update this Privacy Policy from time to time. The effective date at the top of the policy will reflect the most recent update. Continued use of Flo-Test services after an update constitutes acceptance of the updated Policy.
